OneDrive files visible but unavailable offline? Prepare the files you need

A filename in File Explorer does not guarantee a local copy. Download the files you need in advance and test opening them without a connection. Do not delete files to solve this problem.

Safe checking order

  1. Choose a few essential files for your trip or cottage stay, not the entire archive. Check that the laptop has enough free disk space. This guide covers the OneDrive folder in Windows, not the phone app.
  2. Inspect file status. A blue cloud means online-only. An outlined green check indicates local availability; a solid green circle with a white check means the file is marked to stay on the device.
  3. While connected, right-click the required file or small folder and select Always keep on this device. Wait for the download to finish. Selecting the option is not proof that the download has completed.
  4. JVS Tuki’s test: open the selected files in the intended app. Save your work, close the files and briefly disconnect this computer only if doing so will not interrupt a call, remote support or another transfer. Reopen them from File Explorer. Restore the connection afterwards.
  5. Record the result for each file. If a file opens but its app asks for sign-in or an online service, a local copy alone does not meet the app’s needs. Resolve that before travelling. Do not make important edits merely as a test.

Symptoms and possible causes

A cloud icon with no connection differs from a red cross or persistent sync arrows: for those, read OneDrive’s error message. A local file can also require a suitable app. JVS Tuki’s rule is to test both availability and actual use, rather than trust an icon alone.

What not to do

  • Delete is not Free up space. Deleting inside OneDrive can remove the file from the cloud and other synced devices too.
  • Do not start by uninstalling OneDrive, unlinking the account or moving the whole folder.
  • Do not download an entire archive onto an almost-full disk. Do not treat a synced copy as an independent backup.

When to stop

If downloading never finishes, the file is missing from the correct account online too, or access is denied, stop moving and deleting files. Note the error, account type and file status without exposing secrets. For work or school accounts, ask the administrator; do not bypass restrictions.
